POSITION SUMMARY:
Constance Lake First Nation is seeking a highly organized and professional Administrative Assistant to support the Medical Services Department. The Administrative Assistant plays a key role in coordinating appointments, managing patient communications, maintaining medical records, and supporting daily operations to ensure efficient and culturally responsive service. This position reports to the Medical Services Manager and works collaboratively with clinic staff, patients, and partner organizations.

PREFERRED QUALIFICATIONS:

  • Grade 12 diploma; post-secondary training in office or medical administration is preferred. A combination of education and relevant experience may be considered.
  • Strong organizational, communication, and interpersonal skills.
  • Strong computer and administrative skills, including Microsoft Office.
  • Ability to maintain confidentiality and manage sensitive information.
  • Detail-oriented with strong time-management and multitasking skills.
  • Ability to communicate in Ojibway, Cree, or Oji-Cree is an asset.
  • CPR/First Aid certification and valid driver's licence required.
  • Employment is conditional upon satisfactory criminal record check.


Key Responsibilities:

  • Greet patients, manage phone calls, email injuries, and general communications.
  • Schedule appointments and coordinate calendars for medical staff.
  • Maintain accurate and confidential medical records and documentation.
  • Prepare correspondence, memos, reports, and presentations.
  • Assist with billing, invoicing, and tracking departmental expenditures.
  • Provide administrative support to staff to ensure efficient clinic operations.
  • Coordinate office supplies, equipment, and maintenance needs.
  • Assist with compliance documentation and accreditation requirements.
  • Perform other administrative duties as required to support Medical Services.
